State Library Act Compliance

Purpose

To comply with the deposit requirements of the State Library Act, 15 ILCS 320/1 – 21, and 23 Illinois Administrative Code 3020.120.

Scope

All campus units.

Associate Chancellor for Public Affairs.

Policy

All campus units producing publications must comply with the deposit requirements of the State Library Act by submitting copies of such publications to the Illinois State Library within two weeks of distribution. All campus units must also provide one printed copy of such publications to the University Archives.

Definitions

  • PublicationsAll formats of media, including microforms, recordings, and other printed material paid for in whole or in part by funds appropriated by the General Assembly or issued at the request of the University, except correspondence, interoffice memoranda, and confidential publications. Publications to be deposited with the online form include the following: Annual reports, bulletins, circulars, handbooks, manuals, laws, rules, decisions, maps, charts, newsletters, pamphlets, brochures, fact sheets, press releases from constitutional officers and technical, research, and statistical reports.

Processes/Procedures/Guidelines

Campus units must deposit copies of publications within two weeks of distribution to University Archives and the Illinois State Library. One printed copy must be deposited with University Archives and three copies, including one electronic, must be deposited with the State Library. The electronic copy must be uploaded to the State Library by filling out this online form.
