As a service to alumni of the University of Illinois, the Alumni Association and other units on the three campuses periodically publish alumni directories. Publication plans for all proposed directories must be submitted to the Alumni Association Business Information Unit for review and approval prior to the signing of any contract (if an outside vendor is to be used) or the downloading of any records from Foundation, Alumni, and Constituent Tracking System (FACTS) (for internally prepared directories).
The publication plan should identify the purpose and scope of the directory, the preferred vendor, its projected cost to the unit and to the purchaser of the directory, the marketing plan, the process for uploading new data to the FACTS database, and form of publication and dissemination. The marketing plan should include the scope, timing, and type (direct mail, telemarketing, etc.) of marketing efforts to be undertaken. The marketing plan should also describe the survey to be used, if any. If available, a sample of the survey should be submitted.
The Alumni Association Business Information Unit review will insure not only that the purpose and scope of the directory is clearly defined, but that its publication and attendant marketing does not conflict with other directories or with other ongoing alumni contact programs.
